Managing Batches

This takes about 5 minutes.

Internal notes require the Pro plan or higher. Tags are available on all plans. See plan limits

By the end of this guide, you'll know how to find, organize, and manage your gift card batches.

View all batches

  1. Open BatchCard in your Shopify admin.
  2. The dashboard shows all your batches with a summary of each: name, number of cards, total value, and creation date.

Search and filter batches

  1. Use the search bar at the top to find batches by name or code prefix.

You can also filter by:

  • Status — active, archived, or all
  • Date range — find batches created within a specific period
  • Tags — filter by tags you've added (Starter plan and above)

View batch details

  1. Click any batch to open its detail page.

The detail page shows:

  • Every gift card code in the batch
  • The value and status of each code (active, disabled, or redeemed)
  • Delivery status for each recipient (if email delivery was used)
  • Batch notes and tags

Add tags

Tags help you organize batches across campaigns, departments, or time periods.

  1. Open a batch and click Add Tag.
  2. Enter a tag name (for example, "Q1 2026" or "Marketing") and press Enter.

You can add multiple tags to a single batch. Tags appear on the batch list and are searchable.

As you type, BatchCard suggests tags you have used before. Select a suggestion to reuse an existing tag.

Consistent tag naming makes filtering easier. Decide on a convention and stick with it. For example, always use the format "Department - Campaign" like "HR - Holiday 2026."

Add notes

Notes let you record context that's visible only to you and your staff.

  1. Open a batch and click the Notes section.
  2. Enter your note and click Save.

Good notes include: who requested the batch, the purpose, any external reference numbers, or special instructions.

Archive a batch

When a batch is no longer active, archive it to keep your dashboard clean.

  1. Open the batch and click Archive.

Archived batches are hidden from the default view but not deleted. You can find them by filtering for "Archived" status. The gift cards in an archived batch still work normally.

Cancel a batch

You can cancel a batch that is in progress or has pending deliveries.

  1. Open the batch and click Cancel Batch.

Cancelling stops any pending email deliveries. Gift cards that were already created remain active in Shopify. To disable those cards, go to your Shopify admin gift cards section.

Result

Your batches are organized with tags, notes, and archive status. You can find any batch quickly using search and filters.
